Connecting your mailbox

Step-by-step instructions on how to connect your mailbox to Sailes.

Updated this week

Sailes allows you to connect your own corporate mailbox so emails are sent directly from your company’s domain. This ensures higher deliverability, better trust with prospects, and full transparency for your team.

This guide walks you through what to expect, how to prepare, and how to connect your mailbox in just a few steps.

Why Connect Your Mailbox?

  • Trust & Deliverability: Emails come directly from your reputable company domain. Higher chance of landing in inboxes.

  • Transparency: Prospects see your real email domain

Before You Start

  1. Check with IT
Ask your IT admin to create or dedicate a mailbox for prospecting.

    • Example: if your current corporate email is johnsmith@yourcompany.com, you could consider creating a dedicated mailbox jsmith@yourcompany.com

      • You could also use a subdomain (e.g. jsmith@sales.yourcompany.com).

  2. Confirm DNS Records
It’s recommended that your IT team have SPF, DKIM, and DMARC correctly configured.

    • This ensures your emails don’t land in spam.

Step-by-Step: Connecting Your Mailbox

1. Start the Connection

  • Log in to Starboard.

  • Go to your Campaign “Campaign Details” page

  • Scroll to the bottom and click “Connect Mailbox.”

2. Select Your Provider

  • Choose your provider:

    • Google Workspace

    • Outlook / Microsoft 365

👀 Coming Soon: Other providers via IMAP/SMTP

3. Authenticate Securely

  • You’ll be redirected to your provider’s login page.

  • Sign in with your prospecting mailbox.

  • Approve the access request (OAuth).

What happens after the connection is successful?

Sailes will start warming up your mailbox for about 2 weeks. After that, we will begin sending campaign emails.

FAQs

Q: Can I use my personal Gmail account?
A: No. We recommend only using company-managed mailboxes.

Q: What happens to replies?
A: Replies automatically flow into Starboard, where they are classified (AiQL, positive response, unsubscribe, not interested, etc). You’ll see qualified leads in your Starboard.

Q: Can I still use the managed mailbox option?
A: Yes, Sailes will continue to support managed mailboxes for customers who prefer that setup.

Next Steps

  1. Request your IT team to prepare a dedicated mailbox for each Sailebot campaign that you’re running.

  2. Connect your mailbox inside Sailes following the steps above.
