Sailes Mailbox Setup Guide: Deployment Options

Sailebots require mailboxes to send emails on the Sailebot owner’s behalf. This document outlines the three approaches available for mailbox setup, each with different advantages and considerations.

1. Customer-Provided Subdomains with Customer-Owned Inboxes (Recommended)

Format example: johnsmith@info.customerdomain.com

How it works:

  • Sailebots send emails from subdomains connected to your website

  • Your company creates and maintains ownership of all inboxes

  • Separate from the Sailebot owner’s primary email addresses

  • Your Sailebot will:

    • Process all incoming responses

    • Read and analyze message content

    • React appropriately to prospect replies

    • Qualify leads based on response criteria

    • Continuously learn to improve performance

Benefits:

  • Maximum brand alignment with your domain

  • Full company control over inbox creation and access


2. Customer-Provided Subdomains with Sailes-Managed Inboxes

Format example: johnsmith@info.customerdomain.com

How it works:

  • Sailebots send emails from subdomains connected to your website

  • Sailes handles the creation and management of all inboxes

  • Separate from the Sailebot owner’s primary email addresses

  • Your Sailebot will:

    • Process all incoming responses

    • Read and analyze message content

    • React appropriately to prospect replies

    • Qualify leads based on response criteria

    • Continuously learn to improve performance

Benefits:

  • Reduced technical overhead for your team

  • Sailes handles all inbox setup and maintenance

  • Maintains brand alignment with your domain


3. Sailes-Sourced Marketing Domains with Sailes-Managed Inboxes

Format example: johnsmith@customerdomain-info.com

How it works:

  • Sailebots automatically source, purchase and configure marketing domains on your behalf

  • Domains redirect to your website (not Sailes-branded)

  • Sailes creates and manages all inboxes

  • Requires additional costs and longer warm-up period

Benefits:

  • Complete independence from your core domains

  • No technical setup required from your team

Note: Option 3 will always be implemented to some extent, even if Options 1 or 2 are selected. It ensures smoother onboarding, better deliverability, and a safe fallback domain during early-stage ramp-up.

  • Protection of your primary email traffic

  • One-day configuration timeline

  • Optional deployment of marketing domains in support of the core sending infrastructure to boost volume as needed
