How to Integrate Microsoft Dynamics

Overview

Integrating Dynamics with Starboard allows you to seamlessly access and synchronize your data across both platforms. This integration enables you to directly push AiQLs from Starboard into your Dynamics account. Furthermore, whenever an account or contact is created or updated in your CRM, this information can be automatically sent to your Sailebot for further action. By setting up this integration, Starboard can efficiently receive accounts, contacts, and leads into the system, while also providing support for exclusions.


How to connect your Dynamics account in Starboard:

  1. Navigate to “Integrations” in Starboard and select Dynamics

Paste your MS Dynamics Org URL into the textbox

The Org URL can be found here. Represented by the red box:

2. Turn on “Enable 2-way Synchronization”

3. Choose whether to sync all historical accounts and leads, or only those updated from this point, onward


How to push AIQLs from Starboard into your Dynamics account:

Navigate to Starboard 👉 Campaigns 👉 Active Campaign

When a new AiQL is delivered to Starboard, you can push it to Dynamics by clicking 'More Actions' and then 'Add to CRM', or if you have the auto-sync enabled, it will be pushed automatically.

A badge on the AiQL will be displayed once an AiQL has been added to your CRM.

When an AiQL is pushed to Dynamics, the following occurs by default:

  1. Lead is created with the following fields populated:

    1. First name

    2. Last name

    3. Job title

    4. Email address

    5. Company name

    6. Lead status (set to “Contacted” by default)

    7. Lead source (set to “Other” by default)

  2. Account is created with the following fields populated:

    1. Company name

    2. Website

    3. Company address

  3. Activity (email correspondence between the Sailebot and that contact) will be attached to that Account.

    1. You can find the activities linked to the specific account, on the Timeline view and under Related | Activities.

Note: If the lead and account already exists in Dynamic, we will not create a new record (to prevent duplicates). For leads, we do a check on the email address. For accounts, we do a check on the company website address and name.


Microsoft Dynamics Sailebot Contact Field

How to push companies and contacts to your Sailebot, or set up an exclusion list:

1. Go to Advanced Settings in the gear menu

Under Customizations, go to Customize the System

2. Select Tables on the left nav, then Account

3. Select Columns

4. Select + New Column

5. Set up the following under property details for the New Column

  • Display Name: Allow Sailebot to contact (must be exact)

  • Data Type: Choice

  • Behavior: Simple

  • Sync with global choice? Yes

Select + New choice under “Sync this choice with”

Display Name: Allow Sailebot Contact

Choices (must be exact)

  • Label: Ok to contact with value: 1

  • Label Do not contact with value: 0

6. Set Sync this choice with: Allow Sailebot Contact

Default choice: Ok to contact

Click Save

7. Repeat for Contact and Lead, but you no longer need to create a new choice, and can choose Sync this choice with Allow Sailebot Contact.

Note: the “Lead” table is not listed in the “Recommended” table list. Choose “All” to view all tables.

8. Click Home and then your Sales app

9. Select the forms that you want to add the new column to, like the Contacts form

Click the pencil to edit them

10. Add the field to the appropriate location. For example, in contacts, consider CONTACT PREFERENCES:

  • Choose Details

  • Search for the new column

  • Drag the column into the form under CONTACT PREFERENCES

Click Save and Publish in the upper right

Microsoft Dynamics Sales Custom Lead Source

To better track leads that come from the Sailebot, a custom lead source can be added to Microsoft Dynamics Sales.

  1. Follow the steps in above to navigate to tables.

  2. Choose the Lead table

  3. Find the source field

  4. Click to edit the field

5. Click ➕ New choice and add a new entry for the desired lead source name, like Sailebot. Give it a unique numeric value

6. Click Save

7. Sailes engineering must update to any custom lead source value for Microsoft Dynamics Sales via configuration (in this example, to 11).

Afterwards, AiQLs will be created as leads with this new source:
